Connect RallyText to Zapier
Coming soon The RallyText app is on its way to Zapier's app directory. This guide shows what it does and how to connect it. Until it is listed, see "Without the RallyText app" below.
What you need
- A RallyText team on Team Plus or Organization (Business plans are coming soon).
- To be a head coach or team director on that team. They are the only people who can create API keys.
- A Zapier account.
Connect your team
- In RallyText, open Settings → Developers and create an API key. Give it a name like "Zapier".
- Copy the key straight away. It starts with
rt_live_and is shown only once. - In Zapier, add a RallyText step and choose to connect a new account. Paste the key.
- Zapier shows the connection as your team's name and code, for example "Frequency 42 (FREQ42)".
The key acts for the person who created it. If that person stops being a head coach or team director, the key stops working and Zapier asks you to reconnect with a new key. Revoking the key in Settings → Developers disconnects Zapier.
What it can do

Ideas: add people from a sign-up form or spreadsheet, log incoming texts to a spreadsheet, post incoming texts to a team chat channel, or text your staff when a booking or order comes in.
Good to know
- STOP is final. Add Member never adds back a number that texted STOP, and the step is marked halted instead of failing, so your Zap stays on.
- A phone number already on your roster is also halted, with the existing member's ID, so form and spreadsheet Zaps don't make duplicates.
- Merge tags like
{first_name}are not filled in by Send Message. Every recipient gets the same text you build in Zapier. - Find Member returns one match. If several members share a number or email, you get the first.
- The API allows 120 requests per minute per key. Zapier waits and retries when you hit a limit.
- Texts that arrive while a renewal payment is overdue are held, and reach Zapier once payment goes through.
- Turning a Zap on adds a webhook marked "created via api" in Settings → Developers. If you delete it there, that Zap stops getting events until you turn it off and on again.
Fixing common errors

Without the RallyText app
The RallyText API and webhooks already work with Zapier's built-in webhook tools. Send RallyText events to a Zapier webhook URL, or call the API with your key in an Authorization: Bearer header. Zapier's webhook tools do not check RallyText's signature, so anyone who learns that URL could send fake events to it. The RallyText app checks every event.
